Customer meetings, recorded by rule

Every meeting with someone outside your organisation is recorded by the meeting notetaker, without anyone remembering to start it.

Plan: PremiumIn beta

For a consultant or account manager with many customer meetings in Teams, Google Meet and Zoom. Internal meetings stay unrecorded; every meeting with a customer is recorded by the account’s rule, without anyone remembering to start anything.

You get each of those meetings as a recording with the transcript and the speakers, a summary, the people, decisions and actions. The meeting notetaker is in beta.

What you need

  • An account on Premium or Enterprise in the Web App, app.deep-thought.cloud. Testers get Premium while they test: become a tester.
  • A Google or Microsoft calendar with your meetings.
  • The account owner or an admin, to choose the rule.
  • With a company Microsoft account, possibly your IT admin, once.

Steps

  1. Your calendar
  2. The rule
  3. The notetaker joins
  4. Recording and e-mail
  1. Step 1: Connect your calendar

In the Web App, open Inställningar (Settings) in the menu and find Calendars. Choose Connect Google Calendar or Connect Microsoft calendar and sign in. Google says it has not verified the app yet: choose Advanced and continue, and tick the box that lets Deep Thought Cloud view your calendar events.

  2. Step 2: Choose the rule

Under Which meetings are recorded, choose Meetings with external participants. Before it is saved, the Web App shows how many meetings the rule would record in the next 7 days. Check the number, then choose Save rule. Only the account owner or an admin can change the rule.

  3. Step 3: Accept once where the meeting is processed

The notetaker’s recording service processes the meeting in the USA. The first time, the account owner or an admin accepts this once: the Web App asks, or it is done under Inställningar, Where your recordings are processed. It is not needed when the account’s processing boundary is already the world.

  4. Step 4: See what will be recorded

Open Möten (Meetings) in the menu; on a phone it is under Mer. Under Upcoming, each meeting in the next 14 days says Will be recorded or Not recorded. Switch a single meeting or a whole series on or off there.

  5. Step 5: Hold the meeting

A participant named after you, for example “Kim notetaker”, joins and records the audio. Everyone in the meeting can see it: its name, and a message in the chat when it joins. If the meeting has a lobby, let it in.

What happens next

  • Under Möten, Recent, the meeting goes from Recording to Processing to Done.
  • You get an e-mail when the transcript is ready, with a button that opens it.
  • The recording has the transcript, speakers suggested from the participants, a summary, the people, decisions and actions. It is in your list of sources with everything else.
